Invoice Numbering Systems That Stay Clear

An invoice number is a unique ID for one bill. Clients quote it when paying; you quote it when chasing. Pick a format once, write it down, and stop reinventing it every January. Clear numbering also helps when you issue a credit note or reopen an old PDF — and it keeps your self-employed records easier to explain.

Formats that work in the real world

Readable beats clever. Prefer a short prefix, zero-padded digits, and a rule you can explain in one sentence.

  • INV-0001 — prefix + padded sequence
  • 2026-014 — year + sequence within the year
  • STUDIO-220 — brand prefix + continuous counter
  • CN-0003 — separate sequence for credit notes

Rules worth keeping

Never reuse a number. Prefer sequential issues. Do not renumber after payment or filing. Estimates and quotes can use EST-/QTE- prefixes so nobody treats them as tax invoices — see document types.

Gaps, credit notes, and multi-entity habits

If you void a sent invoice, keep the number and issue a credit note rather than deleting history. Separate legal entities should not share one continuous counter unless your accountant designs it that way.

Can I restart numbering each year?

Yes if the year is part of the number (2026-001) so years never collide. A bare reset to 001 without a year is risky.

What if I void a draft?

If it was never sent, skip or log the void and continue. Do not reuse a number the client already received.
