Why incomplete invoices stall payment
Accounts payable teams match invoices to POs and contracts. If your PDF is hard to match, it sits in a queue. Freelancers feel this as “the client is slow”; often the document simply lacks a reference they need.

1. You (supplier / From)
Show the name clients already search for in their email. Add a reply-able email and enough address detail for their records. If you charge VAT/GST, put the registration number where your country expects it.
- Legal or trading name
- Contact email and/or phone
- Address when your market expects it on invoices
- Tax ID when registered (VAT, GSTIN, ABN, EIN, etc.)
- Logo optional — useful for recognition, not a substitute for your name
2. Client (Bill To)
Spell the client the way they spell themselves on the PO or contract. Wrong entity names cause payment holds, especially in larger companies.
- Client company or person name
- Billing address if required
- Client tax ID when they ask you to show it (B2B in some regions)
- Attention line or department when they gave you one
3. Document identity
Every invoice needs a unique number and clear dates. Reusing numbers is one of the fastest ways to create bookkeeping chaos — see invoice numbering.
- Unique invoice number
- Invoice (issue) date
- Due date aligned with your payment terms
- PO / reference number when the client issued one
- Currency code or symbol matching the quote
4. Line items and totals
Describe each charge so someone who never met you could still understand the bill. Separate quantity and unit price when that is how you sold the work.
- Clear description of goods or services
- Quantity, unit (optional), rate, and line amount
- Tax name and rate when applicable (VAT basics)
- Discounts and shipping called out separately
- Grand total due — the number they should pay
5. How to pay
State the method and any account name that must match. If you use PayPal.me or a card link, put it in Notes or your send flow so it appears with the PDF.
